Vantage AI

The Back Office · Finance agent

An AI bookkeeper that lives in your WhatsApp

For Australian trade businesses on Xero. Snap a receipt, it lands coded. Invoices raised and chased until paid, with your thumbs up before anything reaches a customer. Books that are BAS-ready every day of the quarter.

Built in Sydney Works with Xero No app, just WhatsApp

What this is

A bookkeeper you message, not a portal you log into. The Finance agent is part of The Back Office, an owner-run AI team from Vantage AI in Sydney. It handles the receipts, the invoices, the chasing and the Monday money report over the app you already live in: WhatsApp.

What it is not: a registered BAS or tax agent, a customer-facing chatbot, or a robot that sends things without asking you. Your accountant stays. Your approval gates everything.

What happens when I snap a receipt?

You are at the trade counter, you pay for fittings, you photograph the receipt in WhatsApp and get back in the ute. That is the whole job. The AI reads the supplier, the amount and the GST, codes it to the right expense account, attaches the image and pushes it into Xero. By the time you are at the next site, it is in your books.

No shoebox. No "I will do it Sunday night." No handing your accountant a quarter of loose paper in week nine.

Who raises the invoices and chases the money?

The AI does the drafting and the chasing. You do the approving. Finish a job, tell it in one line, and it drafts the invoice from your rates and the job details. Once you give it the thumbs up, it goes out through Xero. Then it watches the due date and chases politely until the money lands, drafting each reminder for your approval first.

The Thumbs-Up Rule

Nothing reaches a customer without your approval. Every invoice, every reminder, every message that would touch a customer is shown to you in WhatsApp first. Thumbs up, it sends. Anything else, it waits. This rule is not a setting you can accidentally turn off. It is how the system is built.

What does BAS-ready actually mean?

It means that at any point in the quarter your books are in a state your accountant can work from: every transaction coded, GST tracked on each one, receipts attached, no mystery lines and no missing months. When BAS time comes, there is no catch-up sprint.

Here is the honest scope. We are not registered BAS agents or tax agents, and we do not lodge. Preparing and lodging your BAS, tax advice and compliance sign-off stay with your accountant or registered BAS agent. What changes is what you hand them. Instead of paying professional rates for data entry and clean-up, they open a tidy Xero file and get straight to the work you actually want them for.

What is the Monday money report?

Every Monday morning, one WhatsApp message in plain English: what came in last week, what went out, who owes you and who is overdue, and anything that needs your attention. No dashboard to interpret, no login to remember. Read it at the lights, know where you stand for the week.

What does a bookkeeper normally cost an Australian trade business?

For context, here is what the market looks like. These are typical Australian market rates for small trade businesses, not claims about our service.

Part-time human bookkeeper$300 to $500 per monthWorks set hours, books lag the business by days or weeks

The Back Office is on founding pricing, available on application while we work closely with a small first group of trade businesses. Email [email protected] for a straight number.

Does it fit how a trade business already runs?

It is built for the reality of trades in Australia: quoting from the ute, paying suppliers at the counter, invoicing after dark. Xero is the system of record, so your accountant sees everything where they expect it. If you run jobs through ServiceM8 or Tradify and they sync invoices to Xero, the AI works with what lands there. GST is tracked per transaction from day one, so quarter end is a review, not an archaeology dig.

The Finance agent is one seat on a four-agent team. If you want the full picture of how the operations, marketing and CEO agents work alongside it, read AI agents for tradies.

Frequently asked questions

How does an AI bookkeeper on WhatsApp actually work?
You message it like you would message anyone. Snap a photo of a receipt and it reads the supplier, amount and GST, codes it to the right account and pushes it into Xero. Ask it to raise an invoice and it drafts one for your approval. Ask what you are owed and it answers in plain English. There is no app to install and no portal to log into. If you can use WhatsApp, you can use it.
Does it connect to Xero?
Yes. Xero is the system of record. Receipts, bills and invoices land in your Xero file, coded and attached, so your accountant sees clean books in the tool they already use. Nothing lives in a separate silo that has to be exported later.
Can it lodge my BAS?
No, and we are upfront about that. We are not registered BAS agents or tax agents. The AI keeps your books BAS-ready: transactions coded, GST tracked, receipts attached, nothing missing at quarter end. Your accountant or registered BAS agent reviews and lodges. They will spend less time cleaning up and more time advising, but they stay in the picture.
Will it send anything to my customers without me knowing?
No. This is the Thumbs-Up Rule: nothing reaches a customer until you approve it. Every invoice and every payment reminder is drafted and sent to you in WhatsApp first. You reply with a thumbs up and it goes. You say change it and it changes. No approval, no send. Ever.
How much does it cost?
Founding pricing is on application because we are working closely with a small first group of trade businesses. For context, a part-time human bookkeeper in Australia typically runs $300 to $500 per month for a small trade business, and that is market data about bookkeepers, not a claim about our price. Email [email protected] and we will give you a straight number.
Does it work with ServiceM8 or Tradify?
Xero is the core integration today. If you run jobs through ServiceM8 or Tradify and they already sync invoices to Xero, the AI works with what lands in Xero. Deeper job-management integrations are on the roadmap, and founding clients get a direct say in what we build next.
Is my financial data safe?
Your books stay in your Xero file, under your Xero account, connected through Xero's standard secure authorisation. You can disconnect the connection from your Xero settings at any time. We do not sell data and we do not use your figures for anything other than doing your bookkeeping.
Do I still need an accountant?
Yes. The AI replaces the data entry, the chasing and the shoebox of receipts, not professional judgement. Tax planning, BAS and tax lodgement, structuring and compliance advice stay with your accountant or registered agent. What changes is what you hand them: clean, current, BAS-ready books instead of a quarter of catch-up.
