AI agents for tradies · The Back Office
Not a chatbot. A team.
A whole back office for your trade business, run from the same WhatsApp thread you already live in. Four AI agents handle the money, the admin, the marketing and the overview. You stay on the tools.
Straight answer
Most "AI for tradies" is a receptionist: it answers the phone. Useful, but the phone was never the whole problem. The problem is the two hours of admin after knock-off: the invoices, the quote that never got a follow-up, the Xero mess before BAS, the Google presence you have not touched since 2023.
The Back Office is an AI team, not a chatbot. Four agents with real jobs: Finance, Operations, Marketing and a CEO agent that keeps the overview. You run them from WhatsApp, and nothing ever reaches a customer without your thumbs up.
What is the difference between an AI team and an AI receptionist?
The AI receptionist category is crowded and it does one thing: it picks up when you cannot, takes the caller's details and books the job. That is answering the phone. It sits at the front of the business.
An AI team runs the business behind the phone. When the job is booked, someone still has to invoice it, chase the payment, reconcile it in Xero, follow up the quote from last Tuesday, ask the happy customer for a review and tell you how the month is tracking. In most trade businesses that someone is you, at the kitchen table, after dinner.
That is the work The Back Office takes. It is not a voice on your phone line and it never talks to your customers. It is the office staff you have not been able to justify hiring, delivered as AI agents you direct from your ute.
If all you want right now is the phone answered, that is a different product and an honest read on it is here: AI receptionists for Australian trades, what they do and cost.
What do the four agents actually do?
Agent 01 · Finance
The money agent
Invoicing, payment chasing, receipts and supplier bills coded into Xero, books kept BAS-ready for your accountant, and a Monday morning money report so you start the week knowing exactly where you stand.
Agent 02 · Operations
The admin agent
Scheduling, job admin and the quote follow-ups that quietly die in your sent folder. It keeps the pipeline honest: every quote has a next step, every job has its paperwork.
Agent 03 · Marketing
The presence agent
Content drafts, Google review requests after finished jobs, and keeping your online presence alive so you are not invisible the next time someone in your suburb searches for your trade.
Agent 04 · CEO
The overview brain
The one you actually talk to. It sees what the other three are doing, answers plain questions about your business and flags what needs your attention before it becomes a problem.
The Thumbs-Up Rule
Nothing reaches a customer without your approval. Every invoice, follow-up, review request and post is drafted, shown to you in WhatsApp, and held until you give it a thumbs up. The agents work for you. They never speak as you without your say-so.
What does a day with an AI back office actually look like?
Here is a realistic day for a sparkie running a one-man-and-an-apprentice operation out of the Eastern Suburbs, entirely from the WhatsApp thread in his pocket.
- 6:40 AM
Coffee, ute, Monday money report. The Finance agent has the week's picture waiting: what got paid, what is outstanding, what is due out. Two minutes of reading instead of half an hour in Xero.
- 7:15 AM
Driving to the first job. The Operations agent confirms today's run and flags that Thursday has a gap since a job pushed back. It suggests offering the slot to the quote that is waiting on a start date. Thumbs up at the red light.
- 9:50 AM
Smoko. Two drafts waiting: a chaser for an overdue invoice and a follow-up on a quote that has gone quiet. Both read like he wrote them. Two thumbs up, back to the switchboard.
- 12:30 PM
Trade counter run. He photographs the supplier receipt and drops it in the thread. The Finance agent codes it against the job in Xero. No shoebox, no lost GST claim at BAS time.
- 2:20 PM
A customer asks to move Friday's job. He forwards the text. Operations checks the week, proposes a new slot and drafts the reply. He approves it and keeps working.
- 4:45 PM
Job done, photos taken. "Invoice it" is the whole instruction. Finance drafts the invoice, Marketing drafts the review request for once it is paid. Both queued for his thumbs up.
- 5:30 PM
Knock-off. The CEO agent sends the day's wrap: what went out, what came in, what is waiting on him tomorrow. The laptop stays in the bag. The evening is his.
No part of that day required a login, a dashboard or a desk. The admin still happened. It just happened in the gaps of the day instead of eating the night.
Who is it for, and who is it not for?
Built for you if
- You run a trade business in Australia: sparkie, plumber, chippy, builder, painter, landscaper, cleaner, HVAC
- You are the one doing invoices and quote follow-ups at night
- You use Xero, or you know you should
- You live in WhatsApp already and want zero new software
- You want help with admin but want final say on everything a customer sees
Not for you if
- You already have a full office team and the admin is under control
- You want an AI to answer your phone: that is a receptionist product, not this
- You want a fully autonomous system messaging customers without your approval: we will not build that
- You are looking for a cheap DIY chatbot template to configure yourself
How does it fit the tools you already use?
The Back Office is built around the standard Australian trade stack, not against it.
| Tool | How the team works with it |
|---|---|
| Xero | Core to the Finance agent: invoicing, payment chasing, receipt and bill coding, books kept clean and BAS-ready for your accountant. Your accountant stays your accountant; they just inherit tidier books. |
| ServiceM8 / Tradify | If your jobs live in a job management app, the team is scoped around it during setup so scheduling and job admin work with what you have rather than forcing a migration. |
| The entire interface. Reports come to you there, drafts wait for approval there, and "invoice that one" is a complete instruction. | |
| Google presence | The Marketing agent drafts review requests and content to keep your profile alive, all held for your approval before anything goes public. |
